Working with Data Collected on Evaluation Forms

Whether they are used by one person or many, evaluation forms are a great way to collect information from those who are reviewing LOIs and applications in your system. But working with data collected on evaluation forms can be different from working with other data in the system. Fortunately, GLM offers several ways for you to work with the data you collect on evaluation forms.

  • Share evaluations with evaluators while they are evaluating. To do this, click the “Share” button when configuring an evaluation form in its process. This allows evaluators to see each other’s comments by clicking the Evaluation 1 or Evaluation 2 links on the Evaluation form.
  • Use a report to gather evaluations. To do this, make sure you select one row per evaluation when building your data set. You will also probably filter out evaluations that are not complete. Then you can report out any of the questions answered by evaluators, adding grouping and/or weighting scores when appropriate. 
  • Use the evaluation summary PDF. To do this, click the Print Evaluation Summary button on the Evaluation Summary page.
  • Create a mail merge outside of GLM. To do this, you will need to export evaluation data through a report to a CSV or Excel file. Then you can build a mail merge template in Word that uses that the exported comments as its source. This allows you to pull comments from multiple reviewers onto a single page.
  • Share a summary of the comments with applicants using the mail merge tool. To do this, you will need to create a question on the application or decision form where you will summarize the comments you received from evaluators. You could also udo this to summarize staff comments or discussion from a meeting. Then you can use the mail merge tool to incorporate the summary of the comments you entered into a mail merge template the applicant will see. After entering your summary for any request, run the mail merge template and share it with the applicant through Request Documents.
